Exchange Unit Approval - Automated emails and database

Students who apply to spend a semester or two on exchange at another university are currently required to have all units undertaken at the other university approved by UWA. Students submit an email to their allocated Student Office via AskUWA. Student Advisors forward the information about the units, either to the Program Chair for the area of study, or to the Unit Coordinator for the equivalent unit at UWA for approval. When a unit is approved it is added to an Excel spreadsheet so that this information is available to staff in the future, if another student request that the same unit is approved.

I would like to have a more automated system whereby students enter the units they would like to have approved into a database, which then generates an email to be sent to an academic. This email would probably need to be checked by Student Office staff to see whose approval is required. The academic would then be able to approve or decline the request in a form that feeds into the database, and also generates an email to the student office, and to the student.

It would also be very useful if students could interrogate the database themselves when planning for exchange.
